Document and Book Delivery
Use Case: Efficient 24/7 Document and Book Delivery to Citizens with Smart Lockers
Scenario:
Our smart lockers are designed to simplify the document delivery process to citizens. These smart lockers allow employees to securely store documents or books, generate QR codes and PINs for customers, and provide a management server for tracking deliveries, generating reports, and enabling API integration.
1. User: Employee
- Role: Delivery Personnel
2. Goal:
Facilitate efficient document and book delivery to citizens using smart lockers.
3. Preconditions:
- Smart lockers are installed in a designated location within or near the company premises.
- The employee has authorized access to the smart locker system.
- The smart locker system has a management server with API integration capabilities with the company’s applications.
4. Main Flow:
- The employee receives a document or book to be delivered to a citizen.
- The employee opens an available smart locker marked as “Available for Delivery.”
- The employee places the assigned document or book inside the locker.
- The employee securely closes the locker door.
- The smart locker system assigns a unique QR code and PIN for citizen pickup.
- The smart locker system automatically sends an email or SMS notification to the citizen containing the QR code and pickup instructions.
- The management server logs the delivery event, locker number, and citizen details in the management system.
- The citizen receives the notification with the QR code and pickup instructions.
- The citizen arrives at the smart locker area.
- The citizen scans the QR code using their smartphone or enters the provided PIN on the locker interface.
- The system verifies the QR code or PIN for authentication.
- Upon successful authentication, the smart locker unlocks the corresponding compartment assigned to that delivery.
- The citizen retrieves the document or book and closes the locker door.
- The smart locker system locks the compartment and sends a notification to the management server, marking the delivery as completed.
- The management server updates the delivery status.
End of use case.
5. Alternative Flow:
- If the smart locker system fails to generate the QR code or PIN, the employee can request manual generation or contact technical support for assistance.
- If the citizen encounters issues while scanning the QR code or entering the PIN, they can contact customer support for resolution.
6. API Integration:
- The system offers API integration functionality, including:
- Company Delivery Management System Integration: Syncs delivery details and tracks the progress of each delivery.
- Customer Notification System Integration: Automates the generation and sending of QR codes and PINs to customers.
- Company Reporting System Integration: Generates delivery reports, including status, timestamps, and customer information.
- External Courier Service Integration: Updates delivery status and triggers pickup notifications.
- Optional: Integration with the company’s CRM system to gather customer feedback and ratings based on their experience with the smart locker delivery process.
By implementing smart lockers equipped for efficient document and book delivery, with QR code and PIN-based customer pickups, and incorporating a management server with tracking, reporting, and API integration capabilities, the company can improve both the convenience and security of the delivery process.
